Shipping Weight vs Dimensional Weight: kg, lb, and Billable Weight

How carriers bill packages using actual weight and dimensional (volumetric) weight — and how to convert kg, lb, and cm/in measurements so you are not surprised at checkout.

Two weights, one invoice

Parcel carriers almost never bill only on what the scale says. They also calculate dimensional weight (sometimes called volumetric weight) from the package’s length × width × height, then charge whichever is higher: actual weight or dimensional weight. That is why a light but bulky box of pillows can cost more to ship than a small, heavy box of metal parts.

Actual weight is straightforward: put the sealed package on a scale in kilograms or pounds. Dimensional weight depends on a divisor the carrier publishes (and sometimes changes by service level). The formula is usually (L × W × H) / divisor, with dimensions in inches for US formulas or centimeters for metric formulas — mixing the two systems without converting first is a classic way to get a nonsense result.

Metric and imperial shipping in the real world

International shippers bounce between systems constantly. A US fulfillment center measures boxes in inches and pounds; a European warehouse uses centimeters and kilograms; the carrier’s rating engine may normalize everything to one system behind the scenes. If you are comparing quotes, convert all dimensions to one system first, then apply that carrier’s published divisor for that system.

Worked example (illustrative): a box that is 40 × 30 × 20 cm. Converted to inches that is roughly 15.75 × 11.81 × 7.87 in. A carrier using an inch-based divisor of 139 would compute dimensional weight as (15.75 × 11.81 × 7.87) / 139 ≈ 10.5 lb. If the scale weight is 3 kg (about 6.6 lb), billable weight is the higher figure — about 10.5 lb — not the scale weight.

Common conversion traps when preparing a shipment

  • Listing centimeters in a form that expects inches (or vice versa) — the dimensional weight explodes or collapses
  • Using pounds for weight but centimeters for size without converting before the formula
  • Forgetting that some carriers round up to the next whole pound or half kilogram
  • Measuring the box before sealing and adding packing that increases dimensions
  • Assuming “1 kg ≈ 2 lb” (it is about 2.2046 lb) on tight margin shipments

How to measure once and convert correctly

Measure length, width, and height of the finished, sealed package at the longest points, including bulges. Convert every linear measurement into the unit the carrier’s calculator expects, then convert the scale weight into the same system the quote tool uses. Do not convert after multiplying — convert inputs first so the divisor matches the unit system.

If you only have a kitchen scale in grams, convert grams to kilograms (divide by 1,000) or to pounds (divide grams by 453.59237) before comparing to dimensional weight in lb. Small rounding is fine for estimating; for commercial invoices and customs declarations, use precise factors and the carrier’s own rating tool as the final authority.

Customs forms and commercial invoices

Cross-border shipments often ask for net weight, gross weight, and sometimes dimensions in a specific unit. Gross weight is the package as shipped; net weight is usually the goods without outer packaging. Mixing net/gross or kg/lb on a customs form can delay clearance.

  • Weigh the sealed package; write kg and lb
  • Measure L×W×H of the sealed package; write cm and inches
  • Run the carrier’s dimensional-weight formula in one consistent unit system
  • Billable weight = max(actual, dimensional), after carrier rounding rules
  • Re-check if you change packaging — a bigger mailer can raise dimensional weight more than you expect
